terms & Conditions

By booking a service and/or completing payment, the client accepts these terms, establishing a binding agreement between the client and B6 Design Studio.

I. Ownership & Licensing

The following terms apply to ownership and usage rights of all designs created by B6 Design Studio. B6 Design Studio retains full copyright ownership of all original designs, including the final book cover design and any associated drafts or mock-ups. The stock images used in the creation of the design are licensed by B6 Design Studio under standard licenses in accordance with the terms set by the stock image provider. These licenses are non-transferable to the client.

 

Upon full payment and delivery of the final product, B6 Design Studio grants the client an exclusive, non-transferable license to use the final book cover design for agreed-upon purposes, such as book publication and promotional materials. This license does not include the right to modify, resell, or redistribute the design without prior written consent from B6 Design Studio.

 

Premade designs are sold "as-is" and may not be altered without prior written consent from B6 Design Studio. Only text, such as the book title and author name, may be modified. If the specific font displayed on the title is unavailable, B6 Design Studio will suggest 1–3 alternative options, and choosing a new font will not be considered a revision. The author name must always be provided and placed on the cover.

 

If the book title is undecided at the time of purchase, the client has up to 3 months to provide the title. If the client remains undecided after this period, they may email B6 Design Studio to request a 6-month extension, which can be granted up to three additional times, for a total of 24 months. If the release date or additional book details are undetermined, the purchase of the premade cover remains acceptable, provided the author name is supplied.

 

The client acknowledges that while they hold exclusive usage rights to the final design, B6 Design Studio retains the right to display the design in its portfolio and promotional materials unless otherwise agreed upon in writing.

II. payment terms & Orders

Payments are made through PayPal, but other options may be available upon request. When placing an order through B6 Design Studio's "Shop" page, please note that this will start the purchase process and the client will be prompted to choose a payment method. B6 will then review this order form and issue the invoice via PayPal, along with sending an email with the Appointment Calendar and any form/information necessary to start the design process. This invoice must be promptly paid within 24 hours, or the item(s) will be put for sale again.

 

Below are some important details about payments depending on the package or items purchased.

 

  • For Custom Designs: A non-refundable deposit of 50% of the total project cost is required before work begins. This deposit secures your place in the design queue and confirms your commitment to the project. The remaining balance is due upon final approval of the design and must be paid before the final files are delivered. Once full payment and the project is finalized, the project will be released and the final JPEG and PDF files will be sent out, then the client is granted the exclusive license to use the custom design as outlined in this agreement.

  • For Premade Designs: Premade designs require full payment upfront before any modifications or delivery of final files. Only text modifications that are on the cover, such as the book title, series name, tagline or author name, and accolades are included in the price of the premade design. Any additional customizations or revisions, if allowed, will be billed separately. Payments for premade are non-refundable and cannot be resold, transferred, or gifted once purchased.

  • Semi-Custom Upgrade: It may be possible to customize a premade cover. This upgrade allows for certain modifications to the design, such as adding characters (e.g., animals or elements), changing the color scheme, or altering the background, and/or font. Such requests are subject to approval by B6 Design Studio and will incur an additional charge ranging from $35 to $75, depending on the scope of the changes. This request must be made through email, approved by B6 Design Studio, and paid by the client before the modifications begin.

  • Additional Fees: Any revisions beyond the included rounds, rush orders, or special requests (e.g., custom illustrations) may incur additional fees. These fees will be communicated to the client before the additional work is started and/or during the design process.

III. Booking & start dates

When booking, the client will choose a project start date or appointment date. This start date is the day that the design process officially commences. The client must have all the information stipulated in “Client Responsibilities” available to the designer three days before the start date. If for some reason the client has not provided this information by 9:00 a.m. EST the business day before the start date, then B6 Design Studio reserves the right to do one or more of the following:

  • send an email requesting this information within a specific timeframe

  • alter the booking to the next available start date and charge a $20 fee

  • cancel the appointment and charge a no-show fee of $25 as this time has been reserved for the client. 

 

B6 Design Studio reserves the right to send a reminder and/or confirmation email prior to the start date if they see fit.

 

If the client needs to reschedule this start date or if they still do not know the title, they may do so by reaching out to B6 Designers via email and requesting a new appointment. There is no fee for rescheduling if done with one week’s notice. 

 

 

When purchsing add-ons such as print covers, the start date for this project is dependent on whether the client has the information ready or for the back cover or would like to book two separate appointments.

  • If one appointment, then the start day of this project would be considered the start date chosen when booking the e-cover and the add-on. It will generally start the first business day after the ebook cover is finalized. For customs, it may start earlier. It will take 1-2 days to complete if the information for the back cover and spine are  in the possession of B6 Design studios the day before the project start date. 

  • If the client would like to have two appointments/start dates, one for the ebook and one for the print cover, then the client should request two appointments. The start day of this project will be independent of the ebook cover.  It will take 1-2 days to complete. The information for the back cover and spine must be in the possession of B6 Design studios the day before the project start date. Please note if a detailed print cover further information will be necessary.

 

The design process begins on the start date with a review of all the information provided by the client to the designer.

Iv. Approvals & Revisions

The entirety of the project may take 1-7 business days to complete depending on the type of project, the complexity, and nature of the project. During this time, the client will be required to provide feedback within a timely manner. The recommended response time or what is considered a “timely manner” is 2-hours during the design process, but this time can be adjusted to fit client needs if requested via email or google form. If for some reason the client is unable to answer within the stipulated time, B6 Designs Studio requests a reply within a 24-hour period. The client understands delays in replies result in delays in the length of the project. Please take note of the estimated client time required in the following section.

 

For premade e-covers without a semi-upgrade request or any font issues, the process is fairly simple, as this includes no revisions and the cover is sold as-is. The information provided (title and author name, series name if applicable and tagline if applicable) will be input on the start date and then sent for approval. Approval, in this case, is based only on whether or not the designer has placed the title and author name without designer-induced errors. 

  • Length of Project: It will take 1-2 business days once the design process begins to complete if the client responds within a timely manner. 

 

Simple print cover: Approval of a simple print cover is based on whether or not the designer has placed the blurb, hook, and ISBN when applicable in the appropriate time. Only one minor revision is allowed to the font and one minor revision to the overall concept. The design is based on the e-cover design process and includes no new stock images and only one mock-up concept.

  • Length of Project: It will take 1-3 business days once the design process begins to complete if the client responds within a timely manner. 

 

Detailed print cover: Only 3 minor revisions to the mock-up concept are allowed, one minor revision to the font of the back cover or spine. This includes only one mock-up concept and requires some feedback and information

  • Length of Project: It will take 2-4 business days once the design process begins to complete if the client responds within a timely manner. 

 

For a custom cover, the 


Delays in providing feedback may impact the project timeline. The number of revisions included depends on the package purchased by the client. Furthermore, the client understands it is at the designer’s discretion whether a change be classified a Minor or Major Revision. Each correction, including individual typos or grammatical errors, is counted as one revision. The client also understands the number of revisions the client is purchasing when choosing a package. If the client would like more revisions they can opt to upgrade the package or pay $7 per minor revision and $12 per major revision. These prices are invoiced during the revision process. 

 

v. Confedentiality

 

B6 Design Studio agrees to maintain strict confidentiality regarding all client-provided information, materials, and project details. This includes any unpublished manuscripts, images, or personal data shared in connection with the project. Such information will only be used for the purposes of completing the agreed-upon services and will not be shared with third parties without the client’s prior written consent.

 

Similarly, the client agrees to keep all communication, drafts, designs, and other materials provided by B6 Design Studio confidential during the design process. These materials are not to be shared, published, or otherwise distributed without the prior written consent of B6 Design Studio. See "Client Responsibilties".

 

 

vI. stock image & font use

B6 Design Studio utilizes licensed stock images and fonts in the creation of the final design. All stock images are licensed under standard licenses, which allow for usage of up to 500,000 copies or impressions. It is the client's responsibility to ensure that the distribution of the final design remains within this limit. These licenses are non-transferable and remain with B6 Design Studio. For details regarding materials provided by the client, including professional photographs or model images, please refer to the Client-Provided Materials section of this agreement.

 

Should extended licensing be required to exceed this limit, it must be arranged separately, and the additional cost will be the responsibility of the client. It is the clients responsibilty to montior this. 

 

 

vII. client responsibilities

1. Materials: The client is responsible for providing all necessary materials required for the project in a timely manner. They should be delivered to B6 Design Studios the day before the Start Date of the client’s project. It is the client’s responsibility to make sure each item provided, that will be applied to the cover, is free of any grammatical errors. Delays in providing these materials may result in adjustments to the project timeline. Below are the necessary materials:

  • For ALL e-covers:  The client is required to provide the following: title, series name and corresponding book number (if applicable), author name, tagline/hook (if applicable), main genres the book will be classified under. Any accolades or awards to be placed on the cover.

  • For Custom e-covers: The client is required to provide the information found in “ALL” covers, and the following: keywords, sub-genres, themes, and platforms it will be sold on. The following information must also  be available to the designer the day before the star date of the project: the cover’s main focus– if a person or more than one person a description of each should be included and if an element or an animal, also include description; a detailed synopsis, blurb, taglines, inspirational photos, any author branding elements required, color schemes, thoughts and ideas for the cover, and any additional references the client deems necessary or B6 Design Studios requests. 

  • For ALL Print Covers: the following items are necessary: page count, trim size, paper type, black or colored ink, ISBN code (if applicable). 

  • For Detailed Print Covers: The client will provide the vision and/or information needed for the back cover and spine. If the client chooses to have an author bio in the back cover, the bio and high-quality pictures must also be included. 

  • If the client has provided or will provide materials please see the section titled “Client-Provided Materials”.

 

2. Timely & Professional Feedback: The client agrees to provide clear, respectful, and constructive feedback during the revision process. All feedback must be submitted within the specified timeframe, as outlined in the “Revision and Approval” section. Bullying, harassment, or any form of disrespectful behavior directed towards B6 Design Studio or its staff will not be tolerated.

 

3. Mock-Up Confidentiality: The client will not share mock-ups or non-finalized graphics generated from custom cover design process, audible, and print add-ons, with anyone other than the designer and/or B6 Design Studio. This includes, but is not limited to posting on social media, uploading to websites, sharing with peer-review groups, author networks, friends, or external individuals/companies not directly involved in the project. Exceptions to this policy must be requested in writing and explicitly approved by B6 Design Studio. This action is prohibitted and will result in rightful termination of the contract.

 

4. Attribution for Premade Designs: Clients are not permitted to share or post premade designs, in any format or platform, without providing appropriate attribution to B6 Design Studio. Attribution must include a reference to the official website (www.b6designstudio.com) and designers. This policy applies to any form of sharing, including but not limited to social media platforms, blogs, websites, and promotional materials. Failure to provide proper attribution violates company policy and the terms of this agreement.

 

 

5. Professional Conduct and Communication: The client agrees to maintain respectful and professional communication regarding B6 Design Studio and its services. Publicly badmouthing, defaming, or making disparaging remarks about the company, its staff, or its work on any platform, including social media or peer groups, is strictly prohibited and constitutes a breach of these terms. If the client has concerns or issues, they agree to address them directly with B6 Design Studio to seek resolution.  The client is responsible for clearly communicating their design preferences, project expectations, and any concerns during the initial stages of the project. Additional revisions caused by a lack of clear communication may incur extra charges. 

 

6. Usage Compliance: The client agrees to use the final design exclusively for the purposes outlined in the license agreement, such as book publication and related promotional activities. The client acknowledges responsibility for monitoring compliance with any third-party licensing limits, such as stock image usage thresholds. 

The client further agrees that the design shall not be used for projects containing erotic or explicit content, any illegal or unethical activities, content that promotes hate speech, violence, or discrimination of any kind, and any other purposes that conflict with B6 Design Studio's policies or values. B6 Design Studio reserves the right to revoke the usage license if the design is used for prohibited purposes or in violation of these terms.

 

7. Payment Obligations: The client is responsible for adhering to all payment terms as outlined in the “Payment Terms” section of this agreement. Non-payment or delayed payment may result in project delays or termination.

 

8: Adherence to Licensing Terms: The client acknowledges that they may not modify, resell, or redistribute the final design without prior written consent from B6 Design Studio. Unauthorized use or misuse of the design will constitute a breach of this agreement and the client may be subject to a fine.

 

vIIi. Cancellation & Refunds

1. The following applies to Custom Designs:

 

  • If the client cancels the project after work has commenced but before the concept has been produced, the deposit is non-refundable and will be retained by B6 Design Studio to cover time and resources invested. The client retains no ownership of any files, no further cancellation fees are applied.

  • If the client chooses to cancel the project after the initial concept has been presented but before the revision process begins, the client agrees to pay a cancellation fee. This fee compensates B6 Design Studio for the time, effort, and resources invested up to that point. Ownership of the presented concept and any associated materials remains with B6 Design Studio, and the client forfeits the right to use the concept or any drafts created during the design process.The initial deposit, if applicable, will be applied toward this fee. The cancellation fee is dependent on the Tier purchased and is as detailed below. 

    • Tier 1: 65% of the total project cost

    • Tier 2: 70% of the total project cost

    • Tier 3: 75% of the total project cost

  • If  the client wishes to cancel after or during the revision process, the client agrees to pay a cancellation fee. Ownership of the presented concept and any associated materials remains with B6 Design Studio, and the client forfeits the right to use the concept or any drafts created during the design process. The initial deposit, if applicable, will be applied toward this fee. The fee at this stage is as as detailed below:

    • Tier 1: 85% of the total project cost

    • Tier 2: 85% of the total project cost

    • Tier 3: 90% of the total project cost

 

2. The following applies to Premade Designs:

  • All sales of premade designs are final and non-refundable.

 

3. Abandonment or Non-Response:

If the client becomes unresponsive for a period exceeding 20 days following correspondence, the project will be considered abandoned, and the deposit will be forfeited. Additionally, two missed appointments will also be regarded as abandonment. If an appointment has not been scheduled, and six months have passed since the purchase date, it is the client's responsibility to check in at the six-month mark and request a booking appointment. Failure to request this booking appointment within 12 months of purchase and if there is no correspondence from the client about this, the project will be deemed  abandoned. To resume the project after such a period, the client will be required to pay a restart fee at the discretion of B6 Design Studio. After two years, B6Design Studio reserves the right to archive the project and does not gaurantee its availability. The client forfeits the right to any deposit or payment made. 

 

4. Exceptional Cases

B6 Design Studio maintains a strict no-refund policy; however, exceptions may be considered under extraordinary circumstances (e.g., terminal illness or death), provided the project has not yet commenced. Requests for such exceptions must be submitted in writing and will be evaluated on a case-by-case basis at the sole discretion of B6 Design Studio. Furthermore, in the event of unforeseen circumstances affecting B6 Design Studio, such as major illness, injury, or the passing of the designer, the studio reserves the right to delay, reschedule, suspend, or terminate the project. Every effort will be made to ensure the completion of outstanding projects, which may include hiring a professional to finalize the work. However, if fulfilling the project becomes impossible under such circumstances, B6 Design Studio will be unable to resume projects, or deliver any further work. Clients acknowledge and accept this policy as a precautionary measure designed to address rare and exceptional situations while prioritizing transparency and fairness.

 

5. Breach of Contract: B6 Design Studio reserves the right to terminate this agreement immediately if the client breaches any of the terms and conditions outlined in this document. Breaches may include, but are not limited to, failure to make payments as agreed, unauthorized sharing of designs, drafts, or mock-ups as outlined in the Ownership and Licensing section, violating the policies on respectful communication such as engaging in bullying, harassment, or defamation of B6 Design Studio, or non-compliance with usage guidelines or other agreed-upon terms. In the event of termination due to a breach of contract, no refunds will be issued, and B6 Design Studio retains the right to recover any outstanding balances for work completed up to the point of termination, inclduing any and all fees applicable . Additionally, all rights to designs and materials created during the project will remain with B6 Design Studio unless otherwise agreed upon in writing.

 

6. Creative Trust and Project Interference: B6 Design Studio operates with professionalism and expertise, and the client is encouraged to trust the studio's creative process. Excessive micromanagement, forced art direction, or an ongoing lack of trust may impede the progress and quality of the project. B6 Design Studio reserves the right to suspend or terminate the project if the client demonstrates any of the following behaviors:

  • Interferes with the design process through excessive micromanaging or repetitive changes/ revisions.

  • Shows unwillingness to proceed after more than a reasonable number of concepts or ideas have been presented.

  • Exhibits a continued lack of trust or collaboration.

Fair notice and an opportunity to resolve the issue will be provided before taking such action. However, any suspension or termination due to micromanagement or interference will not result in refunds, and all designs and work created up to that point will remain the sole property of B6 Design Studio.

VIII. AI-Content

B6 Design Studio does its best to never use AI-generated images under any circumstances. However, sometimes stock images and mateirals are not appropriately labeled. If such a situation should arise, it is not intentional and B6 Design Studio may opt to rectify the situation by redoing the cover.

 

Furthrmore, B6 Design Studio prioritizes working with original, human-created written content to ensure artistic integrity and authenticity. As such, the studio reserves the right to decline projects involving books or manuscripts primarily written using AI software or tools. If a client wishes to proceed with such a project, they must disclose the use of AI in the writing process upfront. Acceptance of the project will be at the sole discretion of B6 Design Studio.

 

All creative decisions, artistic direction, and final designs are crafted and curated entirely by the designer. Clients are prohibited from using any AI software or tools to alter, expand, or reproduce the designs provided by B6 Design Studio without prior written consent. This policy is in place to uphold the originality and quality of all designs, as well as to ensure compliance with licensing agreements and copyright laws.

IX. Liabilities

B6 Design Studio is not liable for any indirect, incidental, consequential, special, or punitive damages, including but not limited to loss of income, revenue, business opportunities, or data, arising from the services provided. The client assumes full responsibility for the use of the final designs and acknowledges that B6 Design Studio cannot be held accountable for any issues, errors, or claims resulting from the use or interpretation of the designs.

 

Furthermore, B6 Design Studio is not responsible for any legal or financial outcomes stemming from the client’s failure to secure appropriate permissions, licenses, or rights for materials provided by the client to be included in the design. All liabilities related to third-party materials or content remain the sole responsibility of the client.

 

Additionally, B6 Design Studio is not responsible for delays or failures caused by circumstances beyond its control, including but not limited to natural disasters, power outages, technology malfunctions, loss of files, or acts of third-party vendors. In no event shall B6 Design Studio's total liability exceed the amount paid by the client for the specific project giving rise to the claim.

 

Finally, the client agrees to indemnify and hold harmless B6 Design Studio and its employees from and against any and all claims, damages, losses, or liabilities (including reasonable legal fees) arising out of or relating to the misuse, misrepresentation, or improper use of the delivered designs or materials.
